Scope of Services
This Scope of Services outlines the process and guidelines for design projects undertaken by Evolution DMA. It aims to ensure clarity, efficiency, and satisfaction in the delivery of design services to our clients.
Scope:
This SOP applies to all design projects managed by Evolution DMA, including but not limited to graphic design, web design, and multimedia projects.
1. Initiation and Briefing:
- All projects must commence with a client briefing. During this session, the Evolution DMA team will gather all necessary information about the project, including objectives, target audience, and any specific client preferences.
- If the client has specific design requirements or restrictions, these must be communicated and agreed upon in writing during the briefing stage.
2. Quotation and Approval:
- Based on the briefing, Evolution DMA will provide a detailed quotation outlining the scope of work, timeline, and cost. This quotation will include a clause stating that all designs are created on a freestyle basis, and Evolution DMA reserves creative license unless otherwise agreed upon prior to the commencement of work.
- Any changes or customization requested after the approval of the initial project scope may result in additional charges, billed per hour.
3. Design Process:
- Evolution DMA will undertake the design process, adhering to the agreed project scope and utilizing its creative expertise to deliver high-quality design solutions.
- The design team will maintain open communication with the client throughout this process, ensuring transparency and alignment with project objectives.
4. Review and Revisions:
- Upon completion of the initial design phase, Evolution DMA will present the designs to the client for review.
- Clients are entitled to a predefined number of revisions, as specified in the project quotation. Additional revisions beyond this scope may incur extra charges, as detailed in the quotation.
- Revisions will normally take 1 business day if revisions are given with clarity and sent prior to 1PM CST. Any revisions after will be placed in queue the next business day.
- Any same day revisions may result in additional fees.
5. Finalization and Delivery:
- Once the design is approved, Evolution DMA will prepare the final deliverables in the required formats and proceed with the delivery to the client.
- The client will then have a specified period to review the final deliverables and request any minor adjustments. Significant changes outside the original scope will be subject to additional charges.
6. Post-Delivery Support:
- Evolution DMA will provide post-delivery support as specified in the project agreement. This support includes technical assistance and addressing any concerns related to the delivered designs.
Terms and Conditions:
- Evolution DMA retains creative license on all design projects unless a specific style or direction is agreed upon in writing before project commencement.
- Clients acknowledge that any changes or customization requested after the initial project scope approval may result in additional charges, billed per hour.
- Release of Source Files
Evolution Digital Marketing Agency does not provide clients with source files unless one of the following conditions is met:
- Retainer Agreement: Clients who are under a current retainer agreement with us may request source files as part of their ongoing service package.
- Hourly Hire: Clients who hire our services on an hourly basis may receive source files as outlined in their project agreement.
- Pre-Agreed Terms with Release Agreement: Clients may be provided source files if explicitly agreed upon prior to the commencement of the project and documented in a release agreement.
In all other cases, source files remain the property of Evolution Digital Marketing Agency and will not be released. Any exceptions to this policy must be negotiated and agreed upon in writing.
- All designs and creative works produced by Evolution DMA are subject to copyright laws and are the property of Evolution DMA until full payment has been received.
